Travel Reimbursement Policy
Please pay close attention to the guidelines below before booking your travel. If you have any questions, please contact outreach@minerva.edu.
- Admitted students are eligible for travel reimbursement that will cover up to 80% of their transportation (flight or mileage) cost, not to exceed a total of $800.00 USD.
- Minerva University can only reimburse travel expenses related to the travel of the admitted student. Travel expenses incurred by family members, travel partners, etc. will not be reimbursed.
- In order to qualify for reimbursement, the admitted student must attend the full schedule of events on the chosen Admitted Student Day. If an exception is required, it must be approved in advance. Students can email outreach@minerva.edu with their request and explanation.
- Reimbursement is limited to the primary mode of transportation (e.g., airfare, train fare, or mileage for personal vehicle travel). Hotels and incidental transportation expenses, including airport transfers, taxis, rideshare services, public transit, parking, tolls, meals, or other travel-related expenses, are not eligible for reimbursement.
- Minerva University cannot reimburse travel expenses paid for by hotel or credit card points, or frequent flier miles.
- Requests for reimbursement must be submitted by April 30, 2027. No exceptions will be made.
- All flight reimbursement requests must include the flight receipt and itinerary showing the fare purchased and routing.
- Flight itineraries must represent a reasonable route to and from the event. Itineraries with extended or unnecessary layovers, stopovers, or detours primarily intended for personal travel or vacation are not eligible for reimbursement. If there is uncertainty about whether a planned itinerary qualifies, students should contact outreach@minerva.edu for approval before booking.
- Reimbursement for airfare is based on 80% of the cost of a standard economy ticket only, up to the maximum reimbursement amount. Optional airline add-ons, including, but not limited to, seat upgrades, premium seat selection, travel insurance, priority boarding, and similar optional services, are not eligible for reimbursement. One standard checked bag may be included as part of the reimbursable transportation cost.
- Students traveling on itineraries that begin and end in different locations (for example, traveling to another destination after the event instead of returning home) may still be eligible for reimbursement. Students may be asked to provide a comparison itinerary or additional documentation.
- Reimbursement requests for mileage must include a map (i.e., Google Maps) indicating the location of departure, location of arrival, and total mileage.
- Only one reimbursement per student can be processed. Students are welcome to attend multiple events, but may only receive travel reimbursement for one.
Reimbursement processing will begin after your attendance at the event. It can take up to four (4) weeks to process your request and for funds to be transferred to your bank account. Depending on the banking institution, funds may take longer to process. Minerva University is not responsible for any fees charged by the intermediary and/or receiving banks. The final amount received into your bank account may vary depending on such fees.
Once your travel is booked, please complete the Travel Reimbursement Form. You will be required to provide documentation (receipts) of your booked flight in order to submit this form.
